How We Plan, Design and Deliver Unforgettable Corporate Galas, Conferences and Awards Ceremonies

8 min read

Your end-of-year event is the one night your whole business remembers. Here’s how RG Events makes it count, from first brief to final toast.

Every business has a moment in the year when it stops, looks back and says thank you. For some that’s a Christmas party. For others it’s an awards ceremony celebrating top performers, a black-tie gala for clients and partners, or a conference that sets the direction for the year ahead.

Whichever it is, the event says something about your company. It shows your team they’re valued, your clients that you’re worth working with, and your partners that you do things properly.

At RG Events & Floral, we’re event planners, designers and managers based on the Wirral, delivering corporate events across Liverpool, Cheshire and the wider North West. We’ve worked with businesses including Iceland, GBG and Tesco, and we’ve turned everything from function rooms to empty dockside warehouses into polished event spaces for 80 to 150+ guests.

This guide walks you through exactly how we plan, design and deliver a corporate event. It also covers what to think about before you book anyone, so you can approach your Christmas party, gala or awards night with confidence.

Why Businesses Use a Corporate Event Company (Rather Than Doing It In-House)

Many corporate events start the same way: someone in HR, marketing or the office manager’s chair gets handed the Christmas party on top of their day job. Within weeks they’re juggling venue quotes, caterers, a DJ, a bar supplier, a florist, a lighting company, dietary requirements and a spreadsheet of 120 RSVPs.

A dedicated event company changes that in three ways:

  • One point of contact. Instead of managing six or seven suppliers, you deal with one team that coordinates everything.

  • Joined-up design. When styling, lighting, florals, staging and branding come from the same team, the event looks deliberate rather than pieced together.

  • Risk handled for you. Timings, load-ins, staffing, licensing considerations, contingency plans and on-the-night problem-solving are our job, not yours.

At RG Events, the full service sits under one roof: planning, design, styling, florals, catering, a fully staffed mobile bar run by our own team, and event management on the day. Fewer handovers mean fewer things falling through the cracks.

The Types of Corporate Events We Plan

Corporate Christmas Parties

From relaxed festive socials to full sit-down Christmas dinners with entertainment, we create parties your team actually looks forward to. Think themed styling, festive florals and greenery, a buzzing bar, great food and an atmosphere that feels like a genuine reward for the year’s work.

Awards Ceremonies

Awards nights need precision. Running orders, stage management, lecterns, PA, presentation screens, walk-up music and photo moments all have to land exactly on cue. We plan the ceremony so the spotlight stays on your winners, not on technical hiccups.

Gala Dinners and Black-Tie Events

Galas are where design really matters. We create the full guest journey: an arrival moment, a drinks reception, a beautifully dressed dining room with table florals and centrepieces, uplighting, and a smooth flow from dinner to speeches to entertainment.

Conferences and Business Events

For conferences, product presentations and company kick-offs, the priorities shift to logistics: room layouts, AV, registration, catering breaks that run to time, and branding that keeps your message front and centre.

Launch Events and Client Hospitality

Opening new premises, launching a product or hosting key clients? We’ve transformed raw spaces, including an empty warehouse at Birkenhead Docks, into welcoming, fully branded event environments complete with hospitality, staging and styling.

Our Process: How We Plan a Corporate Event From Start to Finish

Step 1: The Discovery Call and Brief

Everything starts with understanding what the event needs to achieve. We’ll ask:

  • What’s the purpose? Reward, recognition, client relationships, launch, internal communication?

  • Who’s attending, and how many?

  • What date range and budget are you working with?

  • Do you have a venue, or do you need us to find or provide one?

  • Are there brand guidelines, themes or must-haves?

  • Any requirements we should know about early, such as dietary needs, accessibility, alcohol-free events, guest-of-honour protocol or VIP attendees?

That last point matters. We’ve delivered events with embassy-level guests and fully alcohol-free hospitality, where the bar was repositioned as a premium soft drinks and mocktail experience. The earlier we know, the better we can design around it.

Step 2: Venue Sourcing (or Venue Transformation)

If you already have a venue, we’ll survey it and plan how to make the most of it. If you don’t, we can recommend spaces across Wirral, Liverpool and Cheshire to suit your numbers and style.

We also operate our own venues, The Venue by White in Moreton and Ohana’s Venue in Bebington. That gives our clients a seamless option where venue, styling, bar and catering are all managed together.

And if your vision is something unconventional, like a warehouse, a showroom, your own office or a dockside unit, we specialise in turning blank spaces into finished event venues.

Step 3: Concept and Design

This is where your event starts to take shape. We develop a design concept covering:

  • Theme and colour palette. Classic Christmas, winter wonderland, black and gold awards glamour, or your own brand colours.

  • Layout and guest flow. Arrival, reception, dining, stage, bar and dance floor positioned so the night flows naturally.

  • Styling and décor. Table settings, centrepieces, backdrops, linen, candles and statement pieces.

  • Florals. Our in-house floral team designs everything from table arrangements to large installations and uplit trees.

  • Lighting. Uplighting, festoon, stage lighting and atmosphere lighting that transforms a room once the sun goes down.

  • Branding. Logo backdrops, photo walls, signage, lectern branding and on-screen graphics so your company is woven into the event, not stuck on as an afterthought.

For larger events, we can provide concept visuals so your decision-makers can see the event before committing.

Step 4: A Clear, Tiered Proposal

We present a detailed proposal laying out exactly what’s included. Where it helps, we offer tiered packages, for example a core package covering the essentials and an enhanced package with upgraded arrival, styling, florals and AV. You can see the options side by side and choose what fits your budget and ambitions, with no hidden extras.

Step 5: Catering and Bar

Food and drink can make or break a corporate event. We offer:

  • Catering options including hot and cold buffets, grazing boards, sit-down dining, BBQ and street food.

  • A fully staffed mobile bar run by our own trained team, from welcome drinks and festive cocktails to full bar service, or alcohol-free mocktail menus where required.

  • Dietary planning so every guest is properly catered for.

Because the bar team is ours, not a subcontractor’s, service standards stay consistent with everything else on the night.

Step 6: AV, Staging and Production

For awards ceremonies, galas and conferences, production is critical. We coordinate:

  • Stages and lecterns

  • PA systems and microphones

  • Screens and presentation equipment

  • Stage lighting

  • Music and entertainment scheduling

  • Running orders and cue sheets

We build a minute-by-minute running order and share it with everyone involved, from hosts and speakers to bar staff and entertainers, so the whole team works to the same script.

Step 7: Planning, Logistics and Final Details

In the weeks before your event, we lock everything in:

  • Final guest numbers and table plans

  • Supplier confirmations and delivery schedules

  • Load-in and set-up timings

  • Staffing plans

  • Contingency planning (weather, late arrivals, technical backup)

  • A final walkthrough with you

Step 8: Delivery on the Night

On event day, our team handles the full set-up, styling and dressing of the space. Throughout the event, an RG Events manager is on site to run the schedule, manage suppliers and staff, and deal with anything unexpected, quietly and without fuss. Your job is to host, celebrate and enjoy it.

Step 9: Breakdown and Follow-Up

Once the last guest leaves, we take care of breakdown and clear-down. Afterwards we’ll check in to hear how it went, and many of our corporate clients come back to us for the following year’s event.

What Makes a Corporate Christmas Party or Awards Night Truly Memorable?

After planning events for businesses of all sizes, here’s what we’ve seen make the biggest difference:

  1. A strong arrival moment. First impressions set the tone. A styled entrance, welcome drinks and a branded photo wall get the energy going straight away.

  2. Design that fits your brand. Your event should feel like your company, not a generic party.

  3. A tight but relaxed running order. Speeches and awards that run to time keep guests engaged; long gaps lose the room.

  4. Great food and quick bar service. Long bar queues are the number one complaint at corporate events. A well-staffed bar fixes it.

  5. Lighting. It’s the most underestimated element. The same room looks completely different with proper uplighting.

  6. Recognition that feels personal. Whether it’s awards, a thank-you speech or a nod to a great year, people remember feeling valued.

  7. Nobody on your team stuck working. When we run the event, your organiser gets to enjoy the night too.
